Terms of Service

These Terms of Service (“Terms”) govern your use of DocRecap — the docrecap.io website, the DocRecap web application, and the DocRecap mobile apps (together, the “Service”), operated by DocRecap (“we,” “us,” or “our”). By using the Service you agree to these Terms. If you use the Service on behalf of a clinic or organisation, you agree on its behalf and confirm you are authorised to do so.

What DocRecap is — and what it is not

DocRecap is AI-assisted clinical documentation and practice-management software for clinics and licensed healthcare professionals. It helps record and transcribe visits, draft structured clinical notes, manage patients, appointments, prescriptions, lab reports, messaging, and clinic finances.

  • DocRecap does not provide medical advice and is not intended to diagnose, treat, cure, or prevent any disease. It is a documentation and administration tool for professionals.
  • AI output is a draft, not a decision. Transcripts, notes, and suggestions are generated automatically and can contain mistakes. Every note must be reviewed, corrected, and approved by the treating clinician before it is relied on. Medication names and doses are deliberately flagged for human confirmation and must never be trusted without review.
  • All clinical decisions, prescriptions, and communications with patients remain the sole responsibility of the treating healthcare professional and the clinic.

Accounts

  • Accounts are created and set up for clinics by the DocRecap team. The Service is intended for licensed healthcare professionals and their clinic staff, not for the general public.
  • You are responsible for keeping your login credentials confidential and for all activity under your account, including staff accounts your clinic creates.
  • Tell us promptly if you believe an account has been compromised.

Patient data

Your clinic owns and controls the patient information it enters into the Service — including visit recordings, transcripts, notes, prescriptions, and uploaded documents. We process that information on your clinic’s behalf to provide the Service, as described in our Privacy Policy. Your clinic is responsible for meeting its own obligations to patients under applicable law — including obtaining any consent required to record visits and to communicate with patients through channels such as WhatsApp.

Acceptable use

You agree not to:

  • Use the Service unlawfully, or enter data you have no right to process;
  • Share, resell, or provide access to the Service to anyone outside your clinic;
  • Attempt to access other clinics' data, probe or disrupt the Service, or bypass its security or usage limits;
  • Copy, modify, reverse-engineer, or build a competing product from the Service;
  • Use the AI features to generate content unrelated to your clinic's legitimate medical documentation.

Subscriptions and fees

  • Paid plans, visit allowances, any overage charges, and trial periods are as agreed with the DocRecap team and shown in your billing area.
  • Fees are billed in advance for each billing period. Cancellations and refunds — including the 14-day money-back window on a clinic’s first paid charge — are governed by our Refund & Cancellation Policy.
  • If an invoice remains unpaid, we may pause the account until payment is settled. We will tell you before pausing.
  • We may change plans or pricing for future billing periods with prior notice.

Third-party services

Parts of the Service rely on third-party providers — for example speech-to-text and AI models, hosting, payment processing, and WhatsApp message delivery. We choose these providers carefully, but we do not control them, and features that depend on them (such as message delivery) are provided on a best-effort basis.

Availability and changes

We work to keep the Service reliable and continuously improve it, but it is provided “as is” and “as available.” Features may change, and short maintenance windows or outages can occur. Keep your own records where the law requires your clinic to do so.

Intellectual property

We own the Service — the software, design, and DocRecap brand. Your clinic owns its data. You give us the limited rights needed to host and process that data to run the Service, and we give you a limited, non-transferable right to use the Service while your subscription is active.

Liability

To the maximum extent permitted by law: we are not liable for indirect or consequential losses, or for clinical outcomes — responsibility for patient care sits with the treating professional; and our total liability arising from the Service in any 12-month period is limited to the fees your clinic paid us for that period. Nothing in these Terms excludes liability that cannot be excluded by law.

Termination

You may stop using the Service and end your subscription at the end of a billing period. We may suspend or terminate access for a material breach of these Terms that is not remedied after notice, or where required by law. After termination, we will — on request — give your clinic a reasonable opportunity to export its data before deletion, as described in our Privacy Policy.

Governing law

These Terms are governed by the laws of the Arab Republic of Egypt, and disputes are subject to the jurisdiction of the courts of Cairo, Egypt — unless a mandatory law in your country provides otherwise.

Changes to these Terms

We may update these Terms from time to time. The “Last updated” date above reflects the latest version; material changes will be communicated through the Service or by message. Continuing to use the Service after a change means you accept the updated Terms.
