DocRecap (“DocRecap,” “we,” “us,” or “our”) operates the website docrecap.io and provides AI-assisted clinical documentation and practice-management software for clinics — as a web application and as mobile apps. This Privacy Policy explains how we collect, use, and protect information when you visit our website, contact us, request a demo, or use the DocRecap apps.

Information we collect

Information you give us directly. When you request a demo, contact us, or fill in a form (on our website or through an ad on platforms like Facebook or Instagram), we collect the details you provide — typically your name and phone number, and sometimes your email, clinic name, or role.

Information collected automatically. When you visit docrecap.io, we may collect standard technical data such as your IP address, browser type, device information, and how you use the site, through cookies and similar technologies.

Information from advertising platforms. If you reach us through a lead form on Facebook or Instagram, we receive the contact details you submit through that form via Meta.

How we use your information

We use your information to:

  • Contact you about your demo request and respond to your enquiries;
  • Show you how DocRecap can help your clinic and follow up about our services;
  • Improve our website, marketing, and services;
  • Comply with legal obligations.

We contact you only about DocRecap. You can ask us to stop at any time.

How we share your information

We do not sell your personal information. We may share it with:

  • Service providers who help us operate (e.g. hosting, CRM, communication tools such as WhatsApp, and analytics), who may only use it on our behalf;
  • Advertising platforms such as Meta, in accordance with their terms, when you engage with our ads;
  • Authorities, if required by law.

The DocRecap apps (web and mobile)

When a clinic uses the DocRecap product — on the web or through our mobile apps — we process the following on behalf of that clinic, to provide the service described in our Terms of Service:

  • Account information — the clinician's name, email, phone number, clinic details, and settings.
  • Patient records entered by the clinic — patient details, visit notes, prescriptions, lab reports, appointments, measurements, and payments. The clinic controls this data; we process it only to provide the service.
  • Visit audio. The app records a visit only when the clinician starts a recording (this is why the mobile app asks for microphone access). The audio is transcribed and turned into a draft clinical note by AI service providers working on our behalf, and the audio file is deleted from our storage shortly after the transcript is produced — we do not keep it.
  • Usage and device data — standard technical logs needed to run, secure, and improve the service.

Clinic and patient data is stored with our hosting providers in the European Union (Frankfurt, Germany) and protected with encryption in transit and access controls, so each clinic can only reach its own records. Messages a clinic chooses to send to patients (for example on WhatsApp) are delivered through communication providers such as Twilio and Meta. We do not sell clinic or patient data, and we do not use patient records to train AI models.

Clinics can ask us to export or permanently delete their account and data at any time at ahmed@docrecap.io.

Data retention

We keep your information only as long as needed for the purposes above, or as required by law, and then delete or anonymise it.

Security

We use reasonable technical and organisational measures to protect your information. No method of transmission or storage is completely secure, but we work to safeguard your data.

Your rights

Depending on your location, you may have the right to access, correct, or delete your personal data, or to object to its use. To exercise these rights, contact us at ahmed@docrecap.io. We aim to comply with applicable data-protection laws, including Egypt’s Personal Data Protection Law (No. 151 of 2020) and, where relevant, Saudi Arabia’s Personal Data Protection Law.

Children

Our website and services are intended for clinics and healthcare professionals, not for use by children.

We may update this policy from time to time. The “Last updated” date above reflects the latest version.
